Q. What is Time & Attendance?
A. It is a system whereby the employee clocks in and out of their shift. This enables all employees to be paid accurately.
Q. How will I clock in?
A . T&A clock in system video demo.MP4 A. There will be an ipad located in your site. You enter your pin (which you will have chosen) and a photo of yourself ready to start in your uniform.
B. For BOH team you will clock in 5 mins before your shift to enable you to get changed into your whites. At the end of your shift, you will get changed, then clock out. FOH need to arrive in readiness to start within 2 minutes of your scheduled shift start time. Go to ichoose within Fourth and then to ‘employee self-service’ to see a video of how to.
Q. How do I set up my pin?
A. You will be sent an invite to do so to your personal email address (this may be located in your junk file). Once you have chosen a pin, ensure you remember it
Q. How do I re-set my email if it is not working?
A. Speak to your GM who can re-set this for you. If problems receiving email the GM will reach out to the Fourth Support Team at Submit a request – Fourth & HotSchedules Customer Success Portal
Q. What if I’ve forgotten my pin? How do I re-set?
A. If you go to your pin enter screen it states at the bottom – 're-set pin'. If still no joy, speak to GM
Q. Can I clock in early if I’m at site early?
A. Only if the manager on duty states you’re required due to business need and you are happy to do so. Otherwise aim to clock in within 2 mins of your schedule
Q. What if I forget to clock in but I started on time?
A. Your duty manager can clock in for you at the end of day. This will be the same if you forget to clock out. However, try to clock in / out on time.
Q. Do I have to clock out for breaks?
A. Yes, and ensure you have clocked back in. There is clear guidance on taking a break if you are working more than 20 mins. • We expect all shifts over 6hrs to take one 20 min uninterrupted scheduled break. • This break must be scheduled in the middle of the shift. If you do not schedule, Fourth will assign at the beginning or end of the shift which is not what we want
Q. What if I want additional breaks for example to have a cigarette or make a phone call?
A. If the manager on duty authorises this, you will have to clock out and clock back in again. Please note that this will be unpaid. The system can only allow for two breaks though
Q. Where will I see what I have been paid?
A. As usual this will appear in your Wagestream app / payslip within maximum 24hrs.
Q. How will I see the tips I've earned?
A. This will appear as usual in your pay.
Q. Who do I contact if I don't agree with my reported hours? If they are different to what I believe I worked?
A. In the first instance your GM. Then you can contact HR Support. hrsupport@stonegategroup.co.uk
Q. Will I be paid if I am asked to go work at another site?
A. Yes and you will be paid for the travel time to get to the other site. The GM of the other site will clock you in and out at their site.
B. The same applies if you are asked to go and buy supplies from a shop. You will not be required to clock out.
Q. I can't log into Fourth / my email detail is incorrect. Who do I contact?
A. Inform GM immediately so they can correct for you.
Q. What if I have a question about my schedule that has been assigned?
A. Raise any query through your GM.
Q. Where can I see my shifts?
A. Through your Fourth app on your phone (preferably two weeks in advance)
Q. Will I see a change to how I see my pay, payslips, breaks and so on?
A. No, all systems remain the same. Wagestream, break entitlement, paysilps etc.
Q. Where can I find the Handbook?
A. Go on to Sharepoint and search for staff handbook
Q. Will I be able to create a shift from my ipad and / or phone instead of going to the PC?
A. Not at present but it is something we will look at in the future once we have completed the full roll out
Q. What is my ipad freezes or cuts out?
A. Use existing site ipad as this is your backup. If this doesn’t work, manually clock shifts and raise in whatsapp group, stonegate central or wait for 9.30am daily drop in
Q. What if my existing site ipad isn’t configured to take T & A?
A. We are now replacing the existing site ipad on install (tranche 5 onwards) and will ensure it is configured to be able to use as a back up
Q. What if I don't want my photo taken?
A. This is a requirement to work so will be required. The data is held in Fourth and isn't shared. If you have concerns, you can speak to your GM who will support you. For any other reason as to why you can’t have your photo taken, please speak to ER.support@stonegategroup.co.uk . Q. What do I do if someone on maternity wants Keeping in Touch Days?
A. Submit a request via Stonegate Support to payroll -Hourly Employees or Salaried Employees. For Hourly paid employees please send the date and hours worked. For Salaried employees please send the date worked Payroll will process the payment manually which will be paid on the following payday and update the maternity record in Fourth with the KIT/Split day worked.
Q. What if the time is incorrect on my IPAD?
A. Sometimes this happens to some IPADs. Please raise through the Whatsapp and IT will pick up to resolve.
Q. Shifts are not appearing on the IPAD.
A. Check that you have published (or re-published) the rota. If so and still no joy, raise a ticket through Stonegate Support with as much detail as possible (employee full name and number) so we can investigate with Fourth.
Q. I have issues actualising at the end of day. What do I do?
A. Raise a ticket with Stonegate Support with as much detail as possible – mark as urgent.

Q - Where do I find the T&A clocking in and clocking out posters ?

Q. Can I post a brand new shift on Fourth (for example, you ask someone to cover a shift / come in the next day etc).
A. You can and you must ensure that you re-publish following upload, however, we are requesting that Fourth isn’t touched. Pay the new shift by manually entering their times at the end of the night.
Q. What does it mean when I see Clocked versus Actual over 100%?
A. This could be because the break wasn’t taken on shifts more than 6 hours and the system with remove the break when actualising. Breaks must be taken.
B. The Duty manager has ‘paid to schedule’ at the end of the day instead of ‘paying to T & A’. If a team member has clocked in at 4.55pm and clocked out at 5.20pm (when the schedule was to finish at 5pm) if the duty manager pays to schedule and not to T & A, the clocks will be more than actual hence the 100% + actual versus clocked. We must pay to T & A and ensure we are having conversations with team not to clock out late unless agreed.
